2.d. Approve roster availability requests (participating departments only)

Purpose of this guidance

  • This guide is aimed at line managers working in participating departments* to approve requests from rostered staff for their availability.

Consider the following before approving/ rejecting an Availability request:

  1. When the Rostering functionality was introduced (April 2025) all staff were recorded as being available all the time. 
  2. It is expected that the Availability feature is used to record when staff are available to work in addition to their usual working pattern (which is already recorded on their staff record), but it can be used to record when staff are unavailable.
  3. Staff can request availability or unavailability through HR Self-Service, which is then sent to their line manager for approval. Alternatively, Roster Supervisors can record it on their behalf.
  4. The Availability feature should not be used to record annual leave or absence, this should continue to be recorded following your existing processes, which roster supervisors are aware of. 
 

 Following the request notification, refer to the steps below:

  1. Navigate to Manager Dashboard.
  2. Identify the request from the My Approvals widget.
  3. Click View next to the relevant request.
  4. Click either:
    1. the Approve button - to approve the request.
    2. the Reject button - to reject the request. 

The individual will be notified by email of the outcome. The roster supervisor will see the details on the roster.
